The Office of the Registrar of the University of Gondar was established in 1954. Until August 1994, the office has served as a satellite for the then Haileselassie I University, now known as Addis Ababa University. Since the beginning of September 1994, the office has been working independently under the University of Gondar.
During that time the registrar was serving not more than 300 students in 3 diploma offering programs. Since its establishment the number of students enrolled and programs have been increasing. With the tremendous increasing number of students, the office of the registrar is expanding its office for the purpose of accommodating and properly securing the records of the students. The office has established assistant registrar offices in each college/ faculty/institute/school and currently there are 11 assistant registrars in each campus to facilitate its duties. To abreast with the contemporary world, the Office of the Registrar of the UoG is implementing then renowned technology, the Student Information System (SIS), since the academic year 2015/16. This is a paradigm shift for the office in particular and the university in general where all manual activities, from registration to graduation, became automated. To use the system effectively and efficiently 25 system administrators are employed. Presently, Office of the Registrar is serving 45,970 active students in the undergraduate (regular extension, summer) and post graduate (second degree, third degree, specialty and subspecialty) programs. In addition the office offers services for more than 75,000 alumni and other customers.
The main objective of the registrar’s office is to keep customers’ record appropriately and issue educational documents whenever demanded. Its main activities include: preparing and issuing the academic calendar, admission prospectus and student handbooks of the University on a regular basis; creating and maintaining up-to-date and accurate information on student admission, placement, registration, academic performance, retention, attrition, and graduation based on types, programs and modes of delivery; giving orientation to students, administering classrooms, lecture halls and laboratories utilization; notifying academic rules and regulations; preparing and issuing course catalogue of the University in collaboration with Colleges/faculties/Schools; notifying students’ academic status as per the existing legislation, preparing transcripts, degrees, diplomas and certificates to students as well as certifying any other related educational documents.

The Office of the Registrar of the University of Gondar is the unit of the University which is responsible for all operational matters pertaining to student application, student admission, selection, placement, registration, academic status determination, giving alumni services and keep academic records of both active students and graduates.
The office carries out the duties and responsibilities set forth in the provisions of Article 155 of the Senate Legislation of the University of Gondar in close cooperation with faculties and other offices of the University. The Office of the University Registrar shall:
- Prepare the academic calendar of the University each year in consultation with the college/school/institute, the Vice President for Research and Technology Transfer &Linkage, the Vice President for Academic Affairs and submit to the Senate for approval;
- Ensure that pertinent laws, this Legislation, directives of the Senate and its committees and guidelines on students (admission, registration, graduation,) and curricula (courses, credit requirements, etc.) are equitably observed;
- Maintain up-to-date records on programs of study of the University;
- Create and maintain up-to-date, confidential, private, safe, and permanent records of all students, including drop-outs, dismissals, withdrawals, and alumni of undergraduate and graduate programs;
- Create and maintain up-to-date and accurate information on student admission, placement, registration, academic performance, retention, attrition and graduation based on types, programs and modes of delivery;
- Ensure that optimum use is made of classrooms, lecture halls and laboratories and maintain accurate records of such utilizations;
- Prepare and issue the Academic Calendar, University Catalogue(s) and admission prospectus and student handbooks of the University on a regular basis;
- Issue transcripts, degrees, diplomas and certificates;
- Be responsible for the custody of the Common Seal of the University;
- Establish links with University registrar offices in and outside Ethiopia;
- Support, coordinate and oversee the registrar units of the University;
- Without prejudice to the Proclamation, and upon approval of the President and Vice Presidents, consult with the Ministry of Education on intake capacity, admission, and set university-wide general criteria for admission as per the decision of the senate and its committee;
- Oversee the colleges/faculties/schools intake;
- Prepare the list of candidates approved by the AUC and the Senate eligible for the award of degrees, diplomas, and certificates;
- Oversee all admissions of students from foreign schools are conducted as per the rules and regulations of the University;
- Manage all finance related issues of the Office;
- Perform such other tasks as assigned by the V/President for Academic Affairs.
